  • Hours of Work: Monday – Friday 8:00am to 5:00pm.

Salary and Benefits: This is a full-time, benefited Classified 3 level position. Starting wage range: $15.87 - $17.92/hourly, depending upon experience.

Job Summary: Core responsibilities of this position include:

The Administrative Assistant, Life Enrichment is a full-time benefited position working closely with the Program Manager of Outreach and Workforce Development (OWD), the Administrative Assistant of OWD, the Non-Credit Technical Training Coordinator and the staff of Facilities & Events. This position provides smooth day-to-day operations and supports the college’s mission of transforming lives through inspired learning. The Administrative Assistant manages administrative functions, coordinate program logistics, provides support to the Program Manager of Outreach and Workforce development and Life Enrichment faculty while delivering exceptional customer service to both internal staff and external participants.

 

Other tasks may be assigned based on contemporary institutional need.

Essential Functions

Essential Functions:  – this position is Non-Exempt, i.e., is eligible for compensatory or overtime pay provisions of the FLSA.  This listing of essential duties is not all-inclusive, but representative; other duties may be assigned).

  • Facilitate community education program, summer youth programs and various events by coordinating schedules, managing registrations, and providing administrative assistance to ensure smooth operation and a positive experience for participants.

  • Maintains efficient office operations by developing office processes and procedures.
  • Ensure financial accountability by monitoring budget expenditures, maintaining accurate financial records, and providing regular reports to support the program.

Knowledge, Skills, and Abilities:

Knowledge

  • Administrative – Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology.
  • Budget Control – Knowledge of budget control methods, policies, and procedures.
  • Computers – Knowledge of operation of computers
  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • English Language – Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

  • To successfully perform the essential functions of this position, an employee must be able to maintain appropriate composure and necessary confidentiality with regard to both past and current employee, student, and donor data; documents; issues; etc., and respect privacy needs of employees, students, donors
  • The ability to comply with highly inflexible deadlines is required to successfully perform the essential functions of this position; there will be multiple occurrences of sudden, urgent task completion required
  • While performing the essential functions of this position a variable work schedule may be required including long workdays, evenings, and some weekends as needed
  • There may be occurrences of interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
  • While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities

  • An employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds to perform essential position functions
  • Ability to travel when necessary.

Qualifications

EDUCATION AND EXPERIENCE REQUIREMENTS

Minimum Qualifications:   

  • Associate’s degree from an accredited college or university, or in lieu of the educational requirement a minimum of two years of direct work experience related to the job duties listed and a high school diploma, GED or equivalent.
  • One year of experience providing customer service or administrative assistance in a detailed oriented, and computerized and/or data-oriented environment.

Preferred Qualifications:   

  • Four years of experience in a customer service or clerical assistance environment.
