Salary and Benefits: This is a full-time, benefited Classified 5 level position. Starting hourly range: $18.05 - $20.41/hourly, depending upon experience.

JOB SUMMARY - 
The Administrative Assistant III of the School of Health Sciences and Wellness (HSW) position is a full-time, benefited position that supports the overall operations of the department. This 12-month position supports the clerical, administrative, and operational functions of the department. Under general supervision, this position supports the management of the administrative services of the School of HSW and each associated program, through collaboration, coordination, development of procedures, supervision, and monitoring activities. This position performs administrative duties through knowledge of standard office procedures, office computer software as well as college, system, state, and federal regulations. This position is responsible for confidential documents, supporting the logistical and operational functions, maintaining supplies, budgeting support, and maintaining information for college, state, and federal reporting. This position actively supports students, faculty, and school operations.

Essential Functions

ESSENTIAL FUNCTIONS: – this position is Non-exempt , or is eligible for compensatory or overtime pay provisions of the FLSA.  This listing of essential duties is not all-inclusive but representative. Other duties may be assigned.

  • Support the operational needs of the School and each instructional program by providing excellent customer service to all internal and external customers of the School and performing administrative functions including but not limited to: completion of forms, procedures, event planning, solicit approvals, assist in organizing/logistics of meetings, etc. (e.g. PAFs, service requests, School and Advisory Committee meeting minutes, travel requests, etc.)
  • Administer the School's record-keeping systems by assisting in preparing, submitting, and filing various reports, record keeping, maintaining department files, and necessary documentation, ensuring compliance with LCCC policies and procedures or other regulatory bodies as prescribed by state, federal, or specific program accreditation standards and regulations.
  • Provide School academic support in the creation, maintenance, and quality control of course and space scheduling, data entry, course materials requests, maintenance of course syllabi, and overall support of School programs.
  • Provide School budgetary, supply, and procurement support by managing contract and purchasing records (including p-cards), reconciling expenditures, supporting annual budget request documentation, and monitoring and ordering general supplies and equipment for the department.
  • Assist with hosting candidate interviews and new employee on-boarding including completion of necessary forms and supporting employee orientation to the school
  • Assist with public notification of programs and their events, participate in trainings, meetings, events, monitor facilities for any potential safety, emergency, or equipment concerns, and assist with policy and procedure implementation, compliance, and revisions.
  • Administer the student random drug testing program for HSW closed programs, including monitoring student background checks and drug screens during student selection processes, ensuring compliance with HSW School policies for clinical clearance.

KNOWLEDGE, SKILLS & ABILITIES: 

  • Advanced working knowledge and ability with personal computing applications – specifically Microsoft Office Suite (e.g., Word, Excel, Outlook, and PowerPoint), Adobe products (e.g., Reader, Professional), as well as database management systems
  • Skills and abilities to perform as an organized self-starter, and able to handle expeditiously, accurately, and confidentially the rapid receipt of communications from all sources—written, email, voice mail, virtual meeting systems, and one-on-one with attention to detail; able to act on own initiative while exercising reasonable judgment
  • Excellent customer service skills; ability to communicate clearly with a variety of people, in one-to-one and small group settings – either face-to-face, by telephone, or by other electronic means
  • Ability to communicate in an informative manner, effectively listen, and be able to handle escalating situations with concern and confidence
  • Ability to respond to common inquiries from college faculty and staff, regulatory agencies, vendors, regional business community, and others as may be necessary
  • Knowledge of basic office equipment including (but not limited to) personal computer and associated peripherals, multi-line telephone, virtual meeting systems, voice recorders, and other electronic devices
  • Ability to effectively and professionally execute the essential functions of this position with proven capabilities in establishing appropriate professional rapport, communicating with courtesy and tact, accurately determine other’s needs, collecting necessary information, and follow-through when requested
  • Knowledge of confidentiality requirements for higher education (College policy, FERPA, etc.)
  • Ability to travel when necessary
  • Ability to read and interpret instructions in oral, written, or diagrammatical form (e.g., a flow chart of a process) and consider possible applications of business literature and legal documents

PHYSICAL/MENTAL DEMANDS:

  • To successfully perform the essential functions of this position, an employee must be able to:
  • Maintain appropriate composure and necessary confidentiality with regard to both past and current employee, student, and donor data; documents; issues; etc., and respect privacy needs of employees, students, donors
  • Comply with highly inflexible deadlines; there will be multiple occurrences of sudden, urgent task completion required
  • The essential functions of this position require the ability to work in close proximity of an industrial environment including but not limited to working in proximity of complex machines, equipment, tools, chemicals, electrical equipment, etc.; appropriate safety precautions, safety equipment (PPE), and procedures must be utilized at all times
  • Adapt to a variable work schedule including occasional evenings and weekends as needed
  • Interact professionally, diplomatically, and appropriately in interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions
  • Frequently move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities while performing the essential duties of this position
  • Engage in multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds to perform essential position functions; a team lift technique is required for lifts exceeding 50 pounds
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well.
  • The noise level in the work environment is usually moderate; however, there may be unexpected instances of loud noise

Qualifications

EDUCATION AND EXPERIENCE REQUIREMENTS

Minimum Qualifications:   

  • Associate degree from a regionally accredited institution
  • Two years of experience providing customer service or administrative assistance in a detail oriented, computerized, and/or data-oriented environment; including detailed use of common office software programs

Preferred Qualifications:   

  • Four years of experience in a customer service, office management, and/or clerical assistance environment
  • Two years of experience with information management systems/software and data entry
