Job Summary: 

Core responsibilities of this position include:

 

The Administrative Assistant position is a comprehensive, part-time, 10-month position directly responsible for supporting administrative, customer service, financial, and scheduling functions for the Albany County Campus (ACC).  This is a part time position with typical working hours of Monday-Thursday, 8am-12:45pm. These hours may change due to special events or institutional need. The position responsibilities include, but are not limited to, being a key point of contact and reception for guests, students, and employees of the college; maintaining appointment schedules and records; compiling agendas and recording minutes for meetings; compiling, tracking, and summarizing information for reports and correspondence; and management of office supply inventory. Additionally, this position is responsible for receiving and posting student and campus fiscal transactions, cashier responsibilities, assisting with fleet vehicle scheduling and facility rentals/scheduling. The Administrative Assistant must effectively collaborate with a variety of offices and personnel across campus and as needed support other events and functions across the ACC departments. This position is also responsible for the management and dissemination of mail, filing, and copying as requested.


Other tasks may be assigned based on needs and workloads.

Compensation: $10.03/hr. Commensurate with experience.

Essential Functions

Administrative Support Responsibilities:

  • Provide a professional and welcoming environment to meet and greet students, visitors, and employees
  • Support the maintenance of calendars for campus events, coordinating schedules, and making appointments for supervisors
  • Assist in data tracking, input and compiling reports
  • Provide reception support by answering phone calls directing student, parent, and community member inquires to the appropriate department; provide coverage as directed during staff meetings
  • Participate in the management and organization of the event calendar including facilitating communication across multiple departments (IT, Grounds, Faculty, Administration)
  • Record and distribute meeting minutes and agendas; assist in the compilation of correspondence and reports
  • Manage correspondence and distribution of campus mail to appropriate departments
  • Maintain inventory of applicable office forms, order/disperse office supplies, and assist staff with copier problems
  • Assist in making Student ID cards and validating semester stickers
  • Assist in other general administrative or general campus duties as assigned

Cashier Responsibilities:

  • Facilitate receiving and posting student tuition payments as well as incoming campus funds
  • Assist with student account inquiries
  • Coordinate with ACC campus peers and Cheyenne campus accounting office to resolve past due accounts and maintain accurate records
  • Assist in maintaining ACC colleague reconciliation reports including attaching campus deposits and receipts

Campus Event and Meeting Responsibilities:

  • Schedule room requests for outside parties
  • Facilitate campus room and building scheduling including communication, instructions, and coordination of campus events, courses, and rentals
  • Support faculty and staff on all event set ups for meetings, classes, and club activities; some which may occur on weekends
  • Troubleshoot logistical or room scheduling conflicts including relocating, using alternative rooms, and communicating the changes to necessary individuals
  • Participate in the management and organization of the event calendar including facilitating communication across multiple departments (IT, Grounds, Faculty, Administration)

Nonessential Functions:  

An employee in this position may perform some of these responsibilities on an infrequent basisL:

  • Assist with special events and catering as assigned
  • Conduct various office duties such as filing, copying
  • Update and create forms and materials as requested

Knowledge, Skills, and Abilities:

  • Knowledge of effective customer service techniques with the ability to present oneself and the College in a positive and professional manner
  • Ability to work with and maintain the integrity of confidential information
  • Understanding of confidentiality, FERPA and its application in Student records
  • Knowledge of techniques for identifying problems and determining the most appropriate course of action for their positive resolution
  • Ability to listen actively and demonstrate understanding
  • Ability to make independent judgments, work autonomously, and demonstrate initiative
  • Ability to ask for help when needed and seek answers in a timely and appropriate manner
  • Knowledge and skills to operate a wide variety of standard office equipment (computers, printers, telephone, fax, copy machines, etc.)
  • Ability to work in a typical office environment: ability to use computers, answer phones, and provide excellent customer service with a positive attitude in a highly interactive, constantly changing environment
  • Ability to react calmly and act professionally in high-conflict situations
  • Ability to efficiently and accurately manage a wide variety of detailed information
  • Ability to create atmosphere of mutual trust
  • Ability to work a flexible work schedule including evenings and weekends as needed
  • Ability to obtain certifications deemed necessary for the position
  • Ability to communicate and collaborate with multiple campus departments
  • Maintain a clear understanding of LCCC policies for campus inquiries

Physical/Mental Demands:

  • To successfully perform the essential functions of this position, an employee must be able to maintain appropriate composure and necessary confidentiality with regard to employee/student data, documents, issues, etc., and respect privacy needs of current and former employees, students, donors, etc
  • The ability to comply with highly inflexible deadlines is required to successfully perform the essential functions of this position; there will be multiple occurrences of sudden, urgent task completion required
  • While performing the essential functions of this position a variable work schedule may be required including long work days, evenings, and weekends as needed
  • There may be occurrences of interacting with employees/students, past employees/students, members of the general public, and others who express opinions or may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
  • While performing the essential duties of this position, an employee would frequently be required to move around the office space as well as within hallways, meeting rooms, and other parts of the campus facilities
  • There may be multiple/daily instances of prolonged personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • An employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions and an employee must be able to mentally track multiple projects
  • The noise level in the work environment is usually moderate; however, there may be unexpected instances of somewhat loud sounds
  • Typical office environment; occasional travel between campuses

Qualifications

Minimum:

  • High School Diploma or equivalent
  • One year experience in one or more of the Essential Function Areas
  • Excellent written communication skills
  • Demonstrated interpersonal communication skills and the ability to work both collaboratively and independently with diverse constituencies
  • Proficiency in a variety of computer applications including Microsoft Office Suite

Preferred:

 

  • Associate’s Degree from an accredited institution
  • Work experience in an educational setting, preferably higher education
  • Two or more years of relevant experience
