This is a part-time position.


Job Summary:

To perform general office functions/receptionist duties, assist with all software data entry, work order generation and distribution, and assist with all associated filing and filing projects.  Assist with the tracking and filing of all purchase orders/requisitions.  Assist with and follow the building key distribution and key retrieval process.  Assist with motor-pool vehicle scheduling and the filing of all travel requests.


Compensation: Minimum $10.27/hr., Commensurate with experience.

Essential Functions

  • In the role of “Clerk I” for the Computerized Maintenance Management System (SchoolDude), this position will assist with the associated duties and responsibilities, as required/trained, and that are related to generating, distributing, closing and filing all work orders (approximately 400-600 per month). Related responsibilities include updating various SchoolDude informational spreadsheets, and assisting with the distribution of all preventative maintenance (PM) work orders
  • Will assist with and perform various aspects of the vehicle scheduling process, and the building key distribution and retrieval process. This function includes assisting with the cutting, stamping and filing of the building keys
  • Will share in the responsibility of issuing, logging and filing all purchase requisitions, purchase orders and limited purchase orders
  • Will share in all office responsibilities, such as general office work and receptionist duties. Receptionist duties include receiving incoming calls, learning to interpret the information, taking messages and/or relaying the messages to the appropriate units, as well as operating the two-way radio and responding expeditiously to emergency situations and breakdowns
  • Maintain up-to-date knowledge of general service maintenance operations, including the location of all personnel, what services each performs, and the location/status of all campus buildings and vehicles
  • Using a predetermined rotation schedule, this position will be required to share in the responsibility of covering the designated office hours of 8-5 in the winter months and 7-4 in the summer months
  • Will be required to supply a schedule of available work hours, at least one week in advance, for the duration of employment

Nonessential Functions:  

An employee in this position may perform some of these responsibilities on an infrequent basis

  • Order supplies
  • Create new folders for construction project files.
  • Assist Physical Plant employees, as needed.

Knowledge, Skills, and Abilities:

  • Must have working knowledge of computers and computer peripherals, as well as a general knowledge of the following computer software applications—Windows Operating System(s), Microsoft Office Suite (Word, Access, Excel, Outlook), and Word Perfect.
  • Must have keyboarding skills.
  • Excellent interpersonal communication skills—verbal and written.
  • Must have the ability to multi-task and perform several projects, simultaneously.
  • Must possess excellent problem solving skills and be able to work independently, as well as in a team-orientated environment.

Physical/Mental Demands: 

  • Prolonged use of a computer for data entry (3 to 4 hours at a time).
  • May need to respond to varied, often changing, and sometimes urgent situations, tasks, and responsibilities. Will be processing a variety of paperwork, and must reconcile any discrepancies.  
  • May have to deal with and tactfully handle customer complaints on a daily basis



  • High School Diploma or equivalent
  • Computer experience including at least one year experience with Microsoft Office


  • An Associate’s degree in Business Office Technology (or similar program) OR an equivalent combination of education and experience from which comparable knowledge and abilities have been acquired
  • Knowledge of a facility computerized maintenance management system preferred
  • Keyboarding skills of 50 wpm or higher
